Purpose and legal basis of processing personal data

The purpose of processing personal data is to inform about Taike’s operations and manage stakeholder relations in order to promote social interaction and the effectiveness of Taike's operations.

Taike’s stakeholders include, for example, various actors in the arts and culture sector, participants in events, and cooperation partners. In addition, Taike’s activities are communicated to applicants and recipients of state grants and subsidies, which include artists, as well as arts and culture communities and companies, municipalities and joint municipal authorities.

Personal data is processed to inform about Taike’s activities, send newsletters and event invitations, manage registrations, collect feedback, manage and develop stakeholder relations, and for other communications. In addition, the data may be used for statistical and data production purposes.

Personal data is not used or disclosed for commercial marketing purposes.

The processing of personal data is based on the performance of a task carried out in the public interest and the exercise of official authority by Taike in accordance with Article 6 (1) (e) of the General Data Protection Regulation (EU 2016/679).

Taike’s tasks are regulated by the Act on the Arts Promotion Centre Finland (657/2012).

Personal data in the contact register

The register may contain the following data:

  • Name
  • E-mail address
  • Organisation
  • Address
  • Telephone number
  • City
  • Stakeholder information
  • Title
  • Artforms and Taike activities that the person has stated an interest in.

Data is retained with the person’s own consent (for example, when the person subscribes to the newsletter via Taike’s website or when registering for an event). Data may also be retained from public stakeholder contact information. The minimum data to be retained in order to be added to the register is the person's name and e-mail address. The person may provide other data at his or her discretion, and the data may be used, for example, to target newsletters.

Disclosure of data

Data is not as a rule disclosed to third parties.

Transfer of data outside the EU or EEA countries

The bulk e-mail functionality provided by the Finnish Gruppo Software Oy is used for newsletter communications, by which the person’s name and e-mail address are also processed by a subcontractor outside the EU/EEA area to send the newsletter. However, personal data is technically protected. Contracts between Gruppo and its subcontractors contain the EU's standard contractual clauses for data protection.

Other personal data is not transferred outside the EU or EEA countries.

Retention periods for personal data

Data is erased when it is no longer needed for its intended purpose. Data is also erased if the data subject requests it.

Data is obtained from data subjects themselves or from public sources, such as the public data of associations and companies. 

Registry protection principles

The registry is protected by the protection offered by the supplier, and access to the register is restricted. 

Automated decision-making and profiling

Personal data is not used for automated decision-making.

Rights of the data subject

Right to inspect

You can send a request to inspect your data to the data protection officer (contact information above). Be prepared to prove your identity.

Right to rectification

You have the right to rectify inaccurate and incorrect personal data about yourself. You can send a request in writing to the data protection officer (contact information above). Indicate in the request for rectification the data to be corrected and the exact changes or additions. Be prepared to prove your identity.

Right to erasure

Under Article 17 of the General Data Protection Regulation (GDPR), the data subject has the right to request the erasure of personal data concerning him or her from the register

You have the right to demand that Taike delete personal data about yourself that is processed on the basis of your consent. You can send a request to erase your data in writing to [email protected].

Subscribers to newsletter also have the opportunity to cancel their subscription when receiving each newsletter. The personal data of those who unsubscribe from the newsletter are erased from the register.

Right to appeal to the supervisory authority

If you believe that your personal data is being processed unlawfully, you can submit a complaint to the Office of the Data Protection Ombudsman.
